Privacy Policy

This policy describes what personal information the AI Policy Network collects, how we use it, and the choices you have.

The AI Policy Network (“AIPN,” “we,” “our”) is a 501(c)(4) social-welfare organization that builds bipartisan support for policies preparing America for advanced artificial intelligence. We respect your privacy and are committed to handling your personal information responsibly.

This Privacy Policy explains how we collect, use, and share information when you visit theaipn.org, fill out a form on our site, join our membership program, or opt in to receive text messages from us.

1. Scope of this policy

This policy applies to information AIPN collects through our website at theaipn.org and any affiliated pages (including our SMS opt-in form at /text-alerts/). It does not apply to third-party websites we link to, or to information you share with independent organizations (including the AI Policy Institute, a separate entity).

2. Information we collect

We only collect information that you provide to us directly, plus a small amount of standard technical data that our website receives automatically.

Information you provide

• Membership form. When you join as a member, we collect your name, email address, mailing address (for compliance), and payment information. Payment information is processed by our payment provider; we do not store full card numbers on our servers.
• SMS opt-in form. When you sign up for text alerts, we collect your name, mobile phone number, and ZIP code. Submitting the form also records your consent (the timestamp, the IP address of the submission, and the exact consent language shown).
• Email newsletter. When you subscribe to our mailing list, we collect your email address.
• Contact & correspondence. If you email us or fill out a contact form, we receive whatever information you choose to share.

Information collected automatically

• Log data. Our web host records standard server logs: IP address, browser type, pages visited, and timestamps.
• Analytics. We use privacy-respecting analytics to understand aggregate traffic patterns. See Cookies & analytics below.

3. How we use information

We use personal information to:

• Process membership applications and donations, and send related receipts and confirmations.
• Send the text messages and emails you have asked to receive.
• Respond to your inquiries, requests, and correspondence.
• Keep you informed about AIPN’s work, legislative updates, and opportunities to take action (only through channels you opted into).
• Maintain the security, integrity, and performance of our website.
• Comply with applicable laws and reporting obligations.

4. SMS program & mobile data

Our text-messaging program (“AIPN Voter Education Alerts”) sends policy updates, action alerts, and related notices to subscribers who have explicitly opted in. Full program terms — including message frequency, opt-out instructions, and carrier disclaimers — are on our SMS Terms of Service page.

We use the phone numbers and ZIP codes you provide only to (a) deliver the messages you signed up for, (b) route district-relevant action alerts, and (c) comply with our legal obligations. We may share this information with our SMS platform vendor solely to deliver the messages you signed up for; the vendor acts as our service provider and is contractually prohibited from using your information for any other purpose.

5. How we share information

We do not sell your personal information. We share information only in these limited circumstances:

• Service providers. We use vetted vendors to host our website, process payments, send email, run our SMS platform, and provide analytics. They may access personal information only to perform services for us and are contractually bound to protect it.
• Compliance with law. We may disclose information when required by a subpoena, court order, or other legal process, or to protect the rights, property, or safety of AIPN, our members, or the public.
• With your consent. We may share information for any other purpose if you give us your permission.
• Business transfers. If AIPN is involved in a merger, restructuring, or similar event, personal information may transfer as part of that transaction, subject to this policy.

As noted in Section 4, we do not share SMS opt-in consent or the mobile phone numbers associated with our text program with third parties or affiliates for their marketing or promotional purposes.

6. Cookies & analytics

We use a small number of cookies and similar technologies to operate the site and understand aggregate usage. You can disable cookies in your browser settings; the site will continue to work, though some features may be limited. Our analytics provider is configured to anonymize IP addresses and not to build cross-site advertising profiles.

7. Retention

We keep personal information only as long as we need it for the purposes described in this policy, or as required by law. Membership records are retained for the duration of your membership plus a reasonable period afterward for reporting and audit purposes. For SMS subscribers: while you are subscribed, we retain your phone number and consent record to deliver messages and demonstrate that consent was given. After you opt out, we keep your phone number on an internal suppression list indefinitely so that we do not accidentally re-message you if your number is later resubmitted.

8. Your choices & rights

• Email. Every email we send includes an unsubscribe link.
• SMS. Reply STOP to any message to unsubscribe immediately. Reply HELP for help. See SMS Terms.
• Access, correction, deletion. You may request a copy of the personal information we hold about you, ask us to correct inaccurate information, or ask us to delete it. Email privacy@theaipn.org with your request. We will verify your identity and respond within a reasonable time, subject to any legal obligation to retain certain records.
• California & other state rights. Residents of California and certain other states have additional rights under state privacy laws, including: the right to know what personal information we have collected; the right to delete personal information; the right to correct inaccurate personal information; the right to opt out of the sale or sharing of personal information (note: AIPN does not sell or share personal information for cross-context behavioral advertising); and the right not to be discriminated against for exercising any of these rights. 9. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. No system is perfectly secure, however, so we cannot guarantee that your information will never be accessed without authorization.

10. Children

Our website and programs are intended for adults. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. When we do, we will post the revised policy here and update the “Last updated” date at the top. Material changes will be highlighted on the site.
